Terms and Conditions of Cyclorama Hire

General Use

  • The cyclorama is to be used exclusively as a backdrop for photography, video production, or similar activities.
  • Only authorized personnel are allowed to operate equipment in the vicinity of the cyclorama.
  • The cyclorama must be kept clean and free of any materials that could cause damage, such as paints, adhesives, or sharp objects.

Footwear and Attire

  • Street shoes, high heels, or footwear with hard soles are only allowed on the cyclorama with the special sole protection supplied to prevent damages. Please collect them from the venue manager
  • If costumes or props are used, they must be clean and free of sharp edges that could damage the surface.

Equipment and Props

  • All equipment and props must be placed on protective mats or padding supplied when on the cyclorama.
  • No heavy or sharp objects are to be placed directly on the cyclorama surface.
  • Any equipment that could cause damage or leave marks (e.g., lighting stands, tripods) must be handled with care and placed on protective surfaces provided.

Modifications

  • No modifications to the cyclorama are permitted without prior written approval from the venue manager.
  • Any approved modifications must be completely removed, and the cyclorama restored to its original condition by the end of the hire period.

Cleaning and Maintenance

  • The cyclorama must be kept clean at all times. Any spills, marks, or debris must be cleaned up immediately.
  • The hirer is responsible for basic cleaning of the cyclorama during use, including sweeping the surface regularly.
  • At the end of the hire period, the cyclorama must be returned in the same clean condition as it was provided. Additional cleaning fees may apply if this is not adhered to.

Safety Rules

  • No climbing, running, or rough play is allowed on or around the cyclorama.
  • Children shall be supervised at all times and cyclorama shall not be used for any other purpose other than photography/videography.
  • The hirer is responsible for ensuring that all personnel follow safety guidelines when using the cyclorama.
  • In case of emergency, all equipment must be moved off the cyclorama immediately, and all personnel should vacate the area.

Food and Drink

  • No food or drink is allowed in the studio premises including the cyclorama at any time.
  • Any catering or refreshments must be kept in designated areas away from the cyclorama.

Lighting and Electrical Equipment

  • All lighting and electrical equipment must be set up and used in a manner that does not risk damage to the cyclorama.
  • Cables must be secured and kept off the cyclorama surface where possible to prevent tripping or damage.

Supervision

Either party reserves the right to terminate the Agreement on the following terms:

  • A designated supervisor must be always present to ensure compliance with these rules.
  • The supervisor is responsible for addressing any issues or potential damage as soon as they arise.

Inspection

  • The cyclorama will be inspected by the venue manager before and after the hire period. Any damage found will be recorded and may result in additional charges.
  • The hirer is encouraged to conduct a walkthrough with the venue manager or their representative before and after use to confirm the condition of the cyclorama
